Support Coordination Sheet
Designating the hub, the note, and what the hub says on your behalf.
A keep-close version. Read it here, or screenshot this page to have it on your phone — print and PDF copies will appear once final files are attached.
When several people want to help, the coordination itself becomes the workload. This sheet hands that work to one hub person and a shared note — so you are never the manager.
The one-contact hub
Who, and what they handle
e.g. Anna — offers, calendar, updates to everyone else
The week's needs, in one place
This week's needs
e.g. Prescription Tuesday; lifts Thursday and Friday; soup drop-off whenever
Who is doing what
Names next to tasks
e.g. Raj: Thursday lift. Margot: soup. Neighbour: parcels
What the hub says on your behalf
Your words, carried by them — so your part stays one line long.
The update
- “She's having a difficult week — offers welcome, questions light.”
- “Rest week — texts fine, no replies expected, visits on hold.”
- “Better week — company welcome Thursday, short visits.”
The steering line
- “There's a menu of things that help — pick what suits you.”
- “Please go through me rather than messaging directly this week.”
- “No news is fine — I'll post the next update when there is one.”
The measure of the system
- It reduces my messaging — most weeks to near zero
- I never have to assign, chase or thank in bulk
- Offers route to the hub, not to me
- If it starts asking more of me than the help returns, we simplify it
The measure of any coordination system is the same as any tool in this library: does it reduce your decisions and your messaging? If not, hand it entirely to one person and let it be imperfect.
